Businesses scan and copy documents every day to share with other departments, to store for record keeping, and to automate workflow. But when document capture processes aren’t as efficient as possible, businesses can struggle with reduced employee productivity, wasted money, and delays in the processing of information. What’s more, many business documents contain valuable information that either goes unused or needs to be re-entered into other business applications in order to be of use.

Until recently, document scanning was based primarily on a centralized model. It was common for incoming documents to be collected in the mailroom or via a centralized capture application. The drawback to centralized capture is that this can be quite expensive and inefficient as companies transport documents from multiple branch offices to headquarters to be scanned.

Next, companies moved toward scanning documents at the desktop, at a branch office, or at the department level instead of having to send them to headquarters. This process, known as distributed capture, did help reduce costs and made it easier to capture information early in the process. While this was seen as a promising step for businesses, there are limitations that center on the client-server model of office computing and the difficulty around easily sharing content.
